Give the complete lane before choosing the freight service
Provide the collection and destination addresses, goods-ready date and delivery constraints. Explain repeat shipments without assuming a regular departure schedule is already available. A small pallet consignment, a bulky non-stackable load and a full truckload should be assessed on their own specifications, even if they share the same country pair.
Separate the address from the unloading method
Ask the receiver whether a suitable forklift, ramp or other equipment is available and who will use it. Give a receiving slot or booking reference where required. For a private address or a shop without equipment, supply unit weights, ground conditions and access. Request tail-lift assessment or carrying help explicitly; they solve different parts of the handover.
Describe city access using the vehicle and exact destination
For an Amsterdam address, use the city’s vehicle-specific emission-zone information. For Antwerp, check the applicable LEZ access conditions. For a German or Austrian destination, identify the actual municipality, street and any property restrictions rather than applying another city’s rule. Zone admission, permission to stop and the receiver being ready are separate checks.
Distinguish the direct EU leg from a wider import journey
Ordinary Union goods moving directly between these EU countries generally do not need an import/export customs procedure at their internal borders. A shipment arriving from outside the EU, moving under transit or with a different customs status needs separate assessment. Always give the complete route rather than hiding the preceding border stage behind a Dutch, Belgian, German or Austrian delivery address.
Send a quote brief that can become a handover instruction
Include packed sizes, gross weights, stacking limits and a description of the goods. Identify the person who releases the load and the person who accepts it. State whether you need commercial unloading only or help inside the building. I assess the vehicle and requested work personally and confirm the proposed scope, timing and price before booking.
| Stage or situation | Information | Next check |
|---|---|---|
| Germany | Exact receiving site and slot | Pallet sizes, weight and equipment |
| Belgium | Final entrance, including Antwerp where relevant | Access check plus unloading arrangement |
| Netherlands | Actual address, including Amsterdam where relevant | Selected vehicle and receiving method |
| Austria | Destination municipality and property approach | Vehicle fit and help at delivery |
